    Position Description Summary

    The Fairs and Exhibition Coordinator, is responsible for reviewing and processing Fairs and Exhibition and DB Schenker Sports Events documentation for, customer service, client orders, shipments, freight forwarding, Canada Border basic releases and confirmations. The person in this role must also ensure client satisfaction through consistent customer service. The role must also be committed to exceeding client expectations while respecting company policies and budgetary constraints. In the role this position will focus on more project based events with larger scale and scope.

    Principal Accountabilities

    • Contact the exhibitors to solicit our services.
    • Quote logistics charges, door to door. 
    • Coordinate with Schenker representatives at show site.
    • Establish client relationships for current and future business
    • Coordinate shipment to and from event site according to show guidelines
    • Reviews invoices, manifests and other supporting documents for conformity to Fairs & Ex, DB Schenker Sports Events, customs and corporate regulations
    • Assist with larger project based Fairs & Ex, DB Schenker Sports Events projects. 
    • Obtains paperwork by calling vendor/client when requested
    • Verifies documentation for compliance
    • Provides continued customer service
    • Client services, with quote creation
    • Provides accurate information and assistance to customers requiring information
    • Processes B3 entries to meet Company and Canada Customs compliance standards
    • Proper billing and documentation as per policy
    • Other duties as required
    Knowledge and Skills

    • Minimum 2 years relevant experience, preferably in Air and/or Ocean Freight
    • Knowledge and experience in exhibition logistics: trucking, airfreight, ocean freight and customs
    • Experience in the Freight Forwarding Industry: freight forwarding operational experience, CIFFA Course
    • Experience in customs: knowledge of Customs rules, regulations and tariffs, completion of Customs qualifying exam
    • Knowledge, experience and understanding of what happens on-site (at fair/exhibit)
    • Excellent customer service skills: understands customer needs and how to satisfy them
    • Experience in sales or customer interface
    • Excellent communication skills: communicates clearly and concisely
    • Selling and persuasion skills: knows when “to close” or conclude (asks for the business)
    • Team player: focuses on overall company goals and team interest rather than own
    • Strong Computer Skills: good understanding of computer applications, above average working knowledge of Microsoft Office, able to learn and use other applications
